Promotion compliance is the percentage of stores in a promotion where the promotion, display, or price point is actually in place. Use this recipe to track a field campaign’s progress, and then report on the survey answers that confirm execution in each store. In FieldKo, you roll out promotion work with a field campaign. The campaign plans visits and adds its tasks to them. FieldKo links every campaign task to the campaign through the task’s Field Campaign field, and keeps campaign totals on the Field Campaign record: Total Visits, Visits Completed, and Percentage of Visits Completed.

User Permissions Needed

Before You Begin

  • Put a survey on the campaign’s tasks. When you create the campaign, choose task types whose Default Survey asks the compliance questions, such as “Is the secondary display in place?” and “Is the promotional price ticket showing?”, with Make Photo Required selected.
  • Score the questions if you want a percentage. Use picklists with Options Weightage such as Yes:1,No:0. Answers are stored as text, so only scores can be added up. See Design Surveys and Tasks for Reporting.
  • For scored results, ask your admin for a report type with score fields. It needs Task Survey Answers as the primary object, with Score Obtained, Out of Score, and, through lookups, the task’s Field Campaign and the visit’s Account and Sales Representative. See Report Folders, Sharing, and Custom Report Types.

What You’ll Build

  • Campaign Progress: A list view of your field campaigns and the percentage of visits completed.
  • Campaign Task Completion: Campaign tasks by task type and status.
  • Promotion Compliance by Store: Survey answers and photos from the campaign, and a compliance percentage when the questions are scored.

Step 1: Track Campaign Progress

You don’t need a report to track progress. Create a list view on the Field Campaign tab:
  1. Click the Field Campaign tab.
  2. Click the list view controls (gear icon), and then click New.
  3. Name the list view, such as Active Campaigns, and click Save.
  4. Add the filter Status equals Planned or In Progress.
  5. Click the list view controls, click Select Fields to Display, and add From, To, Total Visits, Visits Completed, and Percentage of Visits Completed.

A stacked bar chart of record count by Task Type, stacked by Status.

Report 2: Promotion Compliance by Store

Report Type

Filters

Group By

  1. Sales Representative
  2. Account

Columns and Summary Formulas

Add Actual End, Question, Answer, and Picture. With the scored report type, also add Score Obtained and Out of Score, summarize both with Sum, and add a summary formula named Promotion Compliance, with Percent formatting, that divides the sum of Score Obtained by the sum of Out of Score.

Chart Suggestion

A bar chart of Promotion Compliance by Sales Representative, or by region if your admin includes an account region field.

Variations

  • Display compliance: Use the same reports with a display survey, and filter on the display question.
  • Stores the campaign missed: Use Report 1 with Status not equal to Completed as a follow-up list for reps.
  • Compare campaigns: In the scored report, remove the campaign filter and group by Field Campaign.
  • Campaign visits only: On visit-based reports, add the filter FC Visit equals True.

Tips

  • When an account already has a suitable visit, FieldKo adds the campaign’s tasks to that visit instead of creating a new one. Filter on the task’s Field Campaign, not on the visit name, so these visits count too.
  • Percentage of Visits Completed measures whether the work was done, not whether the promotion is in place. Report on both: execution from the campaign, and compliance from the survey.
  • If you delete a campaign, FieldKo removes its visits and tasks, and they drop out of your reports. Export the results first if you need to keep them.
