What You’ll Build
- Store Coverage This Month: Each rep’s stores, the date each was last visited, and the percentage visited since the first of the month.
- Overdue Stores: Stores whose next visit is past due, based on their recurrence pattern.
- Visits per Store: How many completed visits each store got in the last 4 weeks.
Report 1: Store Coverage This Month
Report Type
Accounts (the standard Salesforce report type). FieldKo adds its fields, such as Last Check-Out and Grade, to the account, so they’re available here.Filters
Group By
- Account Owner (the rep)
- Optional: Shipping State/Province, or another region field
Columns and Summary Formulas
Add these columns: Account Name, Grade, Last Check-Out, Days since Last Checkout, and Next Visit Plan Date. Then add a row-level formula that marks each store visited this month:- In the report builder, click the arrow next to Columns, and then click Add Row-Level Formula.
-
Name the column
Visited This Month, and set the output type to Number with 0 decimal places. -
Enter the formula. Insert Last Check-Out from the field list instead of typing its name.
- Click Apply.
- On the Visited This Month column, click the arrow, click Summarize, and then select Average.
Chart Suggestion
A bar chart of Average of Visited This Month by Account Owner, sorted from lowest to highest, so reps who need help stand out. On a dashboard, use a gauge for the team total.Report 2: Overdue Stores

- Account Owner
Columns
Account Name, Recurrence Pattern, Last Check-Out, Next Expected Visit, Days since Last Checkout, and Next Visit Plan Date. Stores grouped under Past Due missed their expected visit. Stores grouped under a dash (-) have never been checked out, or were checked out today. If Next Visit Plan Date is blank for a past-due store, no visit is planned yet.
Chart Suggestion
A donut chart of record count by Next Visit Due. The Past Due share is your frequency gap.Report 3: Visits per Store
Report Type
A report type with Visits as the primary object and no related objects. FieldKo doesn’t include one, so ask your admin to create it. See Report Folders, Sharing, and Custom Report Types.Filters

Columns
Subject, Actual Start, and Actual Time Spent (Mins). The record count for each account is the number of visits it got.Chart Suggestion
A table or a horizontal bar chart of record count by Account.Variations
- Never visited: In Report 1, add the filter Last Check-Out equals (blank).
- Coverage by age: Instead of the row-level formula, bucket Days since Last Checkout into ranges such as 0–7, 8–30, 31–60, and more than 60 days. See Group Report Data into Buckets in Salesforce Help.
- High-priority stores: Add the filter Grade equals A to see coverage of your most important stores.
- Coverage for a past month: Last Check-Out holds only the latest visit date, so it can’t show last month. Use Report 3 with Actual Start set to Last Month, and summarize Account with Unique to count stores visited. For coverage week by week, see Trend Reports Over Time.
Tips
- FieldKo assigns campaign and recurring visits to the account owner or account team members. If several reps share a store through account teams, grouping by Account Owner credits the owner only. In that case, use Report 3 and group by Sales Representative.
- Coverage counts completed visits only. FieldKo sets Last Check-Out to the date of the latest completed visit’s Actual End. Visits that are In Progress or Cancelled don’t change it.
- If Last Check-Out and Next Visit Plan Date are blank on every store, your admin may have selected Skip Account Last Checkout & Next Visit in the Field Campaign Configuration custom setting, which stops FieldKo from updating them. Use Report 3 instead, or ask your admin.
- Data appears after reps sync. A store visited offline today shows as visited after the rep syncs.
