A field campaign plans visits with the same tasks across many accounts and reps in one go. Use it for work like a promotion rollout or a range review, so you don’t have to plan each visit by hand. New to field campaigns and call cycles? See Key Concepts.

Before You Begin

  • Make sure every rep in the campaign has call cycles that cover the campaign dates. Reps without one don’t get visits.
  • Make sure each account you plan to include has an owner or account team members, because FieldKo assigns campaign visits to them. Accounts with no matching user don’t get a visit. To add reps to an account team, see Add Members to Account Teams in Salesforce Help.

Create a Field Campaign

A campaign needs a name, dates, the tasks to do, the accounts to visit, and the reps who visit them:
1

Start a Campaign

Click the Field Campaign tab, and then click New Field Campaign.
2

Enter a Name and Dates

Enter a name and the From and To dates. The dates must be within your org’s business hours, and the end date can’t be in the past.
3

Choose the Tasks

Click Select Tasks and Surveys or Use Visit Template. Then click Create.
4

Choose Accounts

Choose accounts in one of these ways:
  • Use filters. To save them, select Remember Filter Criteria.
  • Use an existing Account Set. To save your selection as a new set, select Remember Account Selection.
  • Use the map.
5

Assign Reps

Assign visits to each account’s owner or to its account team members. Accounts with no matching user don’t get a visit.
FieldKo creates the visits in the background. You see “Visits assignment initiated successfully. You will receive an email notification when the assignment is complete.” To add more accounts later, open the campaign and click Plan More Visits For Accounts.

When an Account Already Has a Visit

If an account already has a suitable visit during the campaign, FieldKo adds the campaign’s tasks to that visit instead of creating a new one. An existing visit is used when all of these are true:
  • Its status is Not Started, and its planned start is in the future.
  • It’s planned within the campaign’s From and To dates.
  • Its sales representative is the rep the campaign assigns to that account.
FieldKo also adds the campaign name to the start of the visit’s name, unless the name already contains it. If the new name would be longer than 79 characters, FieldKo keeps the original name and adds an asterisk (*) to the start of it instead. Your admin can stop FieldKo from adding campaign names by selecting Visit Name Without Field Campaign Name in the Field Campaign Configuration custom setting. FieldKo creates a new visit for each account that doesn’t have a matching visit.

Delete a Field Campaign

Delete a campaign when you no longer want its visits.
Deleting a campaign also removes its visits and tasks. FieldKo removes them in the background and sends you an email when it’s done.
  1. On the Field Campaign tab, open the campaign.
  2. Click Delete.
You see “Field Campaign deletion process has been started, you will receive an email once it is completed”. While the deletion runs, you can’t plan more visits in that campaign.

Field Campaign Messages

Notify Reps About Campaign Visits

FieldKo can email reps when campaign visits are planned for them. Before you start, make sure you have an active email template stored in an email template folder named FieldKo. Turn on the notification on the FieldKo Configuration tab:
  1. Click the FieldKo Configuration tab, and then click Visit.
  2. Turn on Notify Rep on Visit Planning using Field Campaign.
  3. Select the email template.
  4. Save your changes.

Create and Edit Account Sets

An account set is a saved list of accounts. You can reuse it in field campaigns, recurring visits, recurrence patterns, and visit template assignment.
  • To create a set: On the Account Set tab, click New. Name the set, and then choose accounts.
  • To edit a set: Open the set, and then add or remove accounts.

Set Up Recurrence Patterns

A recurrence pattern records how often an account should be visited, such as every 2 weeks.
  1. On the Recurrence Pattern tab, click New.
  2. Select Weekly or Monthly, and how often.
  3. Click Assign To Accounts.
  4. Choose the accounts.
Accounts then show Next Expected Visit, Next Visit Due (Past Due or Due in Future), and Days since Last Checkout. When a rep checks out in Salesforce and no visit is planned within the pattern, FieldKo asks the rep whether to create the next one.

Transfer Visits

Transfer visits to hand a rep’s visits to someone else, for example while the rep is on leave. Before you start, check these requirements:
  • You can transfer only Not Started visits.
  • The new rep must own, or be on the account team of, each visit’s account.
Move the visits on the Transfer Visits tab:
  1. Click the Transfer Visits tab.
  2. Select the Transfer From and Transfer To reps.
  3. On the left calendar, click the visits you want to move.
  4. Click Transfer Visits.

When an Account Changes Owner

When an account gets a new owner, FieldKo hands some of the account’s data to them:
  • Current ranging: Always shared with the new owner.
  • Orders from the last month: Shared with the new owner only if you turn this on in Transfer Data On Change Of Account Owner.
  • Future Not Started visits: Moved to the new owner only if you turn this on in Transfer Data On Change Of Account Owner.
To choose what happens to orders and visits, change the settings on the FieldKo Configuration tab:
  1. Click the FieldKo Configuration tab, and then click Basic.
  2. In Transfer Data On Change Of Account Owner, choose whether to share the last month’s orders with the new owner and move future Not Started visits to them.
  3. Save your changes.
