Set Up Folders for Field Teams
Keep reports and dashboards in a few shared folders, organized by audience, so that managers reuse reports instead of building near-copies.
Give edit or manage access to the few people who maintain shared reports, and view access to everyone else. Managers can still save their own versions in their private folders.
The Dashboard screen in the FieldKo Atlas app lists the dashboards in folders the rep can view. To give reps a dashboard in the app, save it in a folder shared with reps, and turn on Display Dashboard in the Menu Configuration custom setting. See View Dashboards and Side Menu.
To share a folder, open the Reports or Dashboards tab, click the dropdown arrow next to the folder, click Share, and choose users, public groups, or roles. To learn more, see the Reports and Dashboards for Lightning Experience module on Trailhead.
Folder access controls who can open a report, not which records it shows. A report always shows only the records the viewer can access, so managers need visibility of their reps’ records. See Set Up Manager Visibility.
Report Types FieldKo Includes
FieldKo includes report types for tasks, objectives, survey answers, visits with survey answers, orders, targets, and ranging. For the full list and what each includes, see Report Types and What They Include. Some objects that field teams report on don’t have a FieldKo report type. Depending on your org, Salesforce may list a standard report type for some of them. If you don’t see one that fits, create a custom report type.Custom Report Types to Add
These custom report types fill the most common gaps:
To create a custom report type, follow these steps:
- From Setup, in the Quick Find box, enter
Report Types, and then select Report Types. - Click New Custom Report Type.
- Select the Primary Object, enter a label and description, and store it in a category such as Other Reports.
- Select In Development while you test, and then click Next.
- Optional: Add related objects, and choose whether each “A” record must have related “B” records or can have none. Choose “with or without” for coverage reports, so stores without visits appear.
- Click Save.
- Click Edit Layout, and add the fields people need, as described in the next section.
- When the report type works, edit it and select Deployed, so other users can see it.
Add Fields to Report Type Layouts
A report type’s layout decides which fields report builders can choose. Arrange it so managers can quickly find the fields they need:- Add fields from lookups. Click Add fields related via lookup to add fields such as the visit’s Sales Representative, the task’s Task Type and Field Campaign, and the account’s address fields. Then managers can group survey answers by rep, campaign, or region without a second report.
- Add your own fields. After you create a custom field, such as a number field for survey answers, open each custom report type that uses the object and check that the field is in the layout. If it isn’t, add it.
- Rename sections. Group fields into sections such as Visit, Rep, and Store, and give confusing fields a clearer display name.
- Remove clutter. Leave out internal fields that people shouldn’t report on, such as sync and status flag fields.
