A new survey or field campaign, such as a promotion compliance audit or a share of shelf check, touches several parts of FieldKo: questions and surveys, a task type, visit templates or a field campaign, and the reports that measure the result. Use this checklist to launch one end to end, so reps see the right tasks on visits and you can report on the answers from day one.

User Permissions Needed

Before You Begin

  • Write down what you want to measure and how you’ll report it, such as on-shelf availability by store or promotion compliance by rep. Design the questions for that report. See Design Surveys and Tasks for Reporting.
  • Decide how reps get the survey: on every visit through a visit template, or on a set of stores for a set period through a field campaign.
  • Make sure every rep involved has active call cycles that cover the dates.

Launch the Survey or Campaign

Complete these steps in order. Each step links to the full instructions.
1

Build the Questions and Survey

On the Question tab, create each question and set it to Active. Then, on the Survey tab, create the survey, add the questions in order, and set it to Active. Use picklist and number questions for anything you want to chart. See Build Surveys.
2

Create the Task Type

On the Task Types tab, create a task type, enter its Estimated Time(In mins), and set the survey as its Default Survey. Select Active. See Task Types.
3

Get the Task onto Visits

Choose one of these ways:
  • Every visit: Add the task type to the visit templates reps use. Visits that already exist keep their tasks, so add the task to those visits on the Manage Visits tab if they need it. See Visit Templates and Add Tasks to Planned Visits.
  • A campaign: On the Field Campaign tab, create a campaign with the task, its dates, and its accounts. FieldKo adds the task to suitable Not Started visits and creates visits where there aren’t any. See Run Field Campaigns.
  • Without visits: Create an account objective with a visit template to give each account the task. See Account-Based Tasks (Objectives).
4

Test in a Sandbox

Build and test the survey in a sandbox first, with a test rep on a phone. Complete the survey on a visit, sync, and check the answers in Salesforce. Then move the records to production. See Manage Releases: Sandboxes, Deployments, and Package Upgrades.
5

Tell Reps What's Coming

Let reps know what the survey is for and when it starts. To email reps automatically when a campaign plans visits for them, turn on Notify Rep on Visit Planning using Field Campaign. See Notify Reps About Campaign Visits.
6

Build the Report

Build reports on the Survey Answers, Survey answer with store, or Visits with Survey Answers report types, and add them to a dashboard. See Share of Shelf Report Recipe for a worked example.
To confirm: After a rep syncs, the task appears on their visits with Start Survey. When the first answers sync back, they appear in your report.
After reps start answering, don’t delete or restructure the survey’s questions. Deleted questions and surveys are removed from reps’ devices at the next sync, and completed surveys can’t be changed. To change a live survey, create a new version and switch the task type to it.
