When a rep leaves your company or no longer uses FieldKo, remove their access in Salesforce and hand their stores and visits to another rep. Deactivating the user stops them from logging in to Salesforce and the FieldKo Atlas app. Because FieldKo is in your org, the stores also need a new owner with an active call cycle, or their planned visits are left without a rep.

User Permissions Needed

Before You Begin

  • If the rep still has their device, ask them to tap Sync and wait for it to finish. Their unsynced work then reaches Salesforce before you remove access. See Log Out Safely.
  • Decide which rep takes over each of the departing rep’s stores, and make sure that rep has an active call cycle that covers the dates of the visits you’re moving. See Call Cycles.

Remove the Rep

Complete these steps in order. Each step links to the full instructions.
1

Deactivate the User

Deactivate the rep’s Salesforce user. A deactivated user can’t log in to Salesforce or the FieldKo Atlas app. See Deactivate Users in Salesforce Help.
2

Optional: Remove Package Licenses

If your org assigns licenses for the FieldKo packages, remove the rep’s licenses. From Setup, in the Quick Find box, enter Installed Packages, and then select Installed Packages. Next to each FieldKo package, click Manage Licenses, and then remove the rep.
3

Revoke App Access If the Device Isn't Returned

Open the rep’s user record. In the OAuth Connected Apps related list, click Revoke next to FieldKo Native App.
4

Reassign Accounts and Visits

Change the owner of the rep’s accounts to the new rep. Before you do, make sure the new rep has an active call cycle that covers the dates of the visits you’re moving. If the departing rep was on account teams instead, add the new rep to those account teams. For the steps and options, see Move a Rep to a New Territory.
5

Optional: Move the Remaining Visits

To move other Not Started visits, such as visits on stores shared through account teams, use Transfer Visits.

What Happens When the Accounts Move

When an account gets a new owner, FieldKo always shares the account’s current ranging records with the new owner. The Transfer Data On Change Of Account Owner options on the FieldKo Configuration tab, under Basic, control what else happens:
  • Transfer Not Started Future Visits: Moves the account’s future Not Started visits that belong to the old owner, with their tasks, to the new owner (up to 250 visits per account). If the new owner has no active call cycle that covers a visit’s date, the owner change fails with “Sorry! No Call Cycle available. Please Contact your Manager or Administrator”.
  • Share Last 1 month Orders: Shares the account’s orders from last month with the new owner.
These options save to the Transfer Account Data Configuration custom setting. For the steps to change them, see When an Account Changes Owner. To confirm: On the rep’s user record, Active is deselected, and FieldKo Native App isn’t in the OAuth Connected Apps related list. The rep’s former accounts show the new owner, and their future visits show the new rep as Sales Representative. After the new rep syncs, the stores and visits appear in their app.
