FieldKo licenses are assigned to named users. Each person who uses FieldKo needs a license for each of the 2 FieldKo packages, whether you bought FieldKo for your own Salesforce org or with Salesforce included. A user without a FieldKo license can’t use FieldKo, even if they have a Salesforce license and the FieldKo permission sets.

User Permissions Needed

Check How Many Licenses You Have

  1. From Setup, in the Quick Find box, enter Installed Packages, and then select Installed Packages.
  2. For each FieldKo package, check these columns:

Assign FieldKo Licenses

Salesforce lets you assign package licenses only in Salesforce Classic, so these steps switch to Classic and back.
1

Switch to Salesforce Classic

Click your profile picture, and then click Switch to Salesforce Classic.
2

Open the Package's Licenses

From Setup, in the Quick Find box, enter Installed Packages, and then select Installed Packages. Next to the first FieldKo package, click Manage Licenses.
3

Add Users

Click Add Users, select the users, and then click Add.
4

Repeat for the Other Package

Go back to Installed Packages, and repeat the 2 previous steps for the other FieldKo package.
5

Switch Back to Lightning Experience

Click Switch to Lightning Experience at the top of the page.
To confirm: On the Installed Packages page, Used Licenses for each FieldKo package has gone up by the number of users you added. For more, see Manage Licenses for Installed Packages in Salesforce Help.

Who Needs a FieldKo License

Everyone who reads or writes FieldKo data needs one, including:
  • Reps and merchandisers
  • Managers, and executives who view FieldKo reports and dashboards
  • Admins who set up FieldKo
  • Integration users that read or write FieldKo objects
People who never open FieldKo data, such as a Sales Cloud user who only works with opportunities, don’t need one.

Remove FieldKo Licenses

When someone leaves or no longer uses FieldKo, remove their FieldKo licenses so you can give them to someone else. Do this when you deactivate their Salesforce user.
  1. Switch to Salesforce Classic.
  2. From Setup, in the Quick Find box, enter Installed Packages, and then select Installed Packages.
  3. Next to each FieldKo package, click Manage Licenses, and then click Remove next to the user. To remove several users at once, click Remove Multiple Users.
  4. Switch back to Lightning Experience.
To confirm: On the Installed Packages page, Used Licenses for each FieldKo package has gone down by the number of users you removed. For the full checklist when a rep leaves, see Remove a Rep’s Access.

When You Run Out of Licenses

When Used Licenses equals Allowed Licenses, you can’t add another user until you remove a license from someone else. To get more licenses, contact your FieldKo account manager or support@fieldko.com.

When Licenses Expire or Are Suspended

The Expiration Date is the last day you can use FieldKo under your current subscription. After it, or if the status changes to Suspended, users can’t use FieldKo. If FieldKo is in your own org, your FieldKo records stay in it. With Salesforce included, your agreement with FieldKo sets what happens to the org. See Licensing Questions. To renew, contact your FieldKo account manager.

Sandboxes

When FieldKo is installed in a sandbox, it gets a site license by default, so every sandbox user can use FieldKo without being assigned a license. Sandbox users still need the FieldKo permission sets.
