# Understand Offline Work and Sync

> Learn what works offline, when FieldKo syncs, and what happens when the same record changes in two places.

The FieldKo Atlas app works without a connection. It stores your data in an encrypted database on your device, and uploads your changes to Salesforce when you sync. New to these terms? See [Key Concepts](/getting-started/key-concepts).

## What Works Offline

<CardGroup cols={2}>
  <Card title="Works Offline" icon="check">
    Visits, check-in and check-out, tasks, surveys, notes, accounts and records, orders, core ranging, pack-outs, leave requests, and taking photos
  </Card>

  <Card title="Needs a Connection" icon="wifi">
    Sync, Chatter, the visit map and routes, refreshing dashboards, and first-time setup
  </Card>
</CardGroup>

Everything you create, change, or delete offline is saved on your device and queued. The [Sync screen](/sync/sync-screen) shows how many changes are waiting under **Pending Changes**.

Until a change syncs, it exists only on your device. Logging out deletes it, so always sync before you [log out](/sync/logging-out).

If you open a record that never downloaded, you see **Not Available**: "… record not found in offline data. Please sync and try again." [Run a sync](/sync/sync-screen#run-a-sync), and then open the record again.

## When FieldKo Syncs

| When | What Happens |
| - | - |
| First login | The app downloads all your data. See [Log In and Set Up the App](/getting-started/sign-in). |
| You tap **Sync** | The app uploads your changes, downloads updates from Salesforce, refreshes settings and labels, and uploads and downloads photos. |
| [Background sync](#background-sync) | The app uploads your changes and downloads updates. **Photos aren't uploaded.** |
| You tap **Reset Sync** | The app uploads your changes, deletes your offline data, and downloads everything again. If you continue, changes that can't upload are deleted. See [Reset Your Offline Data](/sync/reset-sync). |

### Background Sync

Background sync runs only if your admin has turned it on. To see how often it runs, in **Settings**, check **Sync Frequency**. When background sync is on, it runs:

* When you open the app
* Every set number of minutes while the app is open, as set by your admin (60 by default)
* When you return to the app after more than 1 minute away
* When you check out of a visit

Background sync doesn't run while the app is closed or in the background. It's skipped when you're offline, when **WiFi Only** is on and you aren't on Wi-Fi, or outside business hours if your company restricts it.

<Tip>
  Background sync never uploads photos or signatures. At least once a day, ideally on Wi-Fi, [run a sync](/sync/sync-screen#run-a-sync) from the Sync screen so your photos reach Salesforce.
</Tip>

## Order of Uploads

The app uploads records first, and then photos. A photo can upload only after the record it belongs to is in Salesforce. If a record fails to sync, its photos wait too.

## When the Same Record Changes in Two Places

Sometimes you edit a record on your device, and someone else changes the same record in Salesforce before you sync. The following table shows which change Salesforce keeps.

| Record Type | What Happens |
| - | - |
| Visits, tasks, survey answers, orders, ranging, notes, incidents, pack-outs, accounts, and contacts | If the Salesforce change is newer than yours, Salesforce keeps its version and your change isn't applied. |
| Other records | Your values upload and replace the Salesforce values for the fields you changed. |

## Records You No Longer Need

Records deleted in Salesforce disappear from your device at your next sync. Records reassigned to someone else, or that fall outside your date range, stay on your device until you [reset sync](/sync/reset-sync).

## Why Some Records Aren't on Your Device

Your admin decides which records each person receives. Typically, you get:

* Accounts you own or are on the account team for
* Visits planned for you from the start of last month to the end of your current call cycle, or to the end of next month if that's later
* Tasks, surveys, orders, and ranging for those visits and accounts

<Warning>
  If you have no active call cycle, no visits sync to your device. Ask your manager to check your call cycle.
</Warning>

Changes your admin makes to page layouts or objects reach your device only when you [reset sync](/sync/reset-sync). New settings arrive with any sync. New labels arrive when you tap **Sync**.
