# Report Folders, Sharing, and Custom Report Types

> Organize report and dashboard folders for field teams, share them with managers and reps, and build the custom report types FieldKo doesn't include.

FieldKo includes report types for its main objects, but no ready-made reports, dashboards, or folders. Before managers start building reports, set up a folder structure they can find their way around, share it with the right people, and add the custom report types your KPIs need. This page covers all 3.

## User Permissions Needed

| To do this | You need |
| - | - |
| Create and share public folders | Manage Reports in Public Folders, Manage Dashboards in Public Folders |
| Create custom report types | Manage Custom Report Types |
| Build reports | Create and Customize Reports, and access to the FieldKo objects |

## Set Up Folders for Field Teams

Keep reports and dashboards in a few shared folders, organized by audience, so that managers reuse reports instead of building near-copies.

| Folder | Contents | Share With | Access |
| - | - | - | - |
| Field Team Reports | Shared reports: coverage, call compliance, availability, share of shelf | Manager public group or role and subordinates | View |
| Field Team Dashboards | Team and perfect store dashboards | Managers | View |
| Rep Dashboards | Dashboards reps open in the FieldKo Atlas app | Rep public group or role | View |
| Field Team Admin | Sync health, data quality, and adoption reports | FieldKo admins | Manage |
| Reporting Snapshot Sources | Reports that feed reporting snapshots | FieldKo admins | Manage |

Give edit or manage access to the few people who maintain shared reports, and view access to everyone else. Managers can still save their own versions in their private folders.

The **Dashboard** screen in the FieldKo Atlas app lists the dashboards in folders the rep can view. To give reps a dashboard in the app, save it in a folder shared with reps, and turn on **Display Dashboard** in the **Menu Configuration** custom setting. See [View Dashboards](/field-work/dashboards) and [Side Menu](/admin/configuration-reference#side-menu).

To share a folder, open the **Reports** or **Dashboards** tab, click the dropdown arrow next to the folder, click **Share**, and choose users, public groups, or roles. To learn more, see the [Reports and Dashboards for Lightning Experience](https://trailhead.salesforce.com/content/learn/modules/lex_implementation_reports_dashboards) module on Trailhead.

<Note>
Folder access controls who can open a report, not which records it shows. A report always shows only the records the viewer can access, so managers need visibility of their reps' records. See [Set Up Manager Visibility](/platform/access/manager-visibility).
</Note>

## Report Types FieldKo Includes

FieldKo includes report types for tasks, objectives, survey answers, visits with survey answers, orders, targets, and ranging. For the full list and what each includes, see [Report Types and What They Include](/managers/monitor-your-team#report-types-and-what-they-include).

Some objects that field teams report on don't have a FieldKo report type. Depending on your org, Salesforce may list a standard report type for some of them. If you don't see one that fits, create a custom report type.

## Custom Report Types to Add

These custom report types fill the most common gaps:

| Report Type | Primary Object and Related Objects | Use It For |
| - | - | - |
| Sync Details | **Sync Detail** | Sync health: failed and partial syncs by rep and app version |
| Accounts with or without Visits | **Account**, with or without **Visits** | Coverage: stores with no visit this call cycle |
| Visits with Tasks | **Visits**, with or without **Tasks**, with or without **Task Surveys** | Call compliance and task completion by task type |
| Call Cycles with Visits | **Call Cycle**, with **Visits** | Planned and completed visits per call cycle and rep |
| Attendance with Visits | **Attendance**, with or without **Visits** | Time worked against time in store, per rep and day |
| Accounts with Ranging Line Items | **Account**, with **Rangings**, with **Ranging Line Items** | Distribution: products ranged per store, without accounts that have no ranging |
| Pack Outs, Incidents | **Pack Out** or **Incident** | Pack-out rates and incident trends |

To create a custom report type, follow these steps:

1. From Setup, in the Quick Find box, enter `Report Types`, and then select **Report Types**.
2. Click **New Custom Report Type**.
3. Select the **Primary Object**, enter a label and description, and store it in a category such as **Other Reports**.
4. Select **In Development** while you test, and then click **Next**.
5. Optional: Add related objects, and choose whether each "A" record must have related "B" records or can have none. Choose "with or without" for coverage reports, so stores without visits appear.
6. Click **Save**.
7. Click **Edit Layout**, and add the fields people need, as described in the next section.
8. When the report type works, edit it and select **Deployed**, so other users can see it.

For more about report types, see [Create a Custom Report Type](https://help.salesforce.com/s/articleView?id=sf.reports_report_type_setup.htm\&type=5) in Salesforce Help.

## Add Fields to Report Type Layouts

A report type's layout decides which fields report builders can choose. Arrange it so managers can quickly find the fields they need:

* **Add fields from lookups.** Click **Add fields related via lookup** to add fields such as the visit's **Sales Representative**, the task's **Task Type** and **Field Campaign**, and the account's address fields. Then managers can group survey answers by rep, campaign, or region without a second report.
* **Add your own fields.** After you create a custom field, such as a number field for survey answers, open each custom report type that uses the object and check that the field is in the layout. If it isn't, add it.
* **Rename sections.** Group fields into sections such as **Visit**, **Rep**, and **Store**, and give confusing fields a clearer display name.
* **Remove clutter.** Leave out internal fields that people shouldn't report on, such as sync and status flag fields.

In most cases, you can't edit the layout of a report type that FieldKo installs. If you need extra fields, create your own report type with the same objects.
