# Work with Accounts and Records

> Find accounts, view their details and related lists, and create or edit records in the app, even when you're offline.

Use the account and record screens in the FieldKo Atlas app to look up the places you visit and keep their information up to date. These screens read from your device, so they work offline. The app uploads your changes at your next [sync](/sync/how-sync-works).

## Find an Account

Search the accounts on your device by name:

1. In the side menu, tap **Accounts**.
   * Your company might call accounts something else, such as Stores or Outlets.
2. In **Search Accounts**, enter part of the account name.

How much the app searches depends on how many characters you enter.

| You Enter | What the App Searches |
| - | - |
| 1 or 2 characters | Only the accounts already shown in the list |
| 3 or more characters | Every synced account. You see **Searching...** while it runs. |

The counter shows how many accounts match, for example **12 of 840 accounts**.

<Tip>
  Can't find an account? Enter at least 3 characters. If it still doesn't appear, it might not be assigned to you or might not have synced yet. Run a [sync](/sync/sync-screen) and try again.
</Tip>

Account cards show the name, industry, account number, grade, shipping address, phone, website, and type. Your admin can change which fields appear.

## View Account Details

Tap an account to open **Account Details**. The header shows the name and address. It also shows these quick actions when the account has the data:

* **Call**
* **Email** (the account's email, or the account owner's)
* **Website**
* **Directions** (opens your [preferred maps app](/getting-started/settings#navigation))

The screen has 2 tabs.

| Tab | What It Shows |
| - | - |
| **Details** | Fields and sections from your Salesforce page layout. Blank fields show **—**. |
| **Related** | Related lists from the page layout, each with a count, plus **Attachments** |

On the **Details** tab, tap the action button to **Edit**, **Delete**, **Show on Map**, or **Attach File**. Each option appears only if you have permission.

When you delete a record, the app marks it for deletion. FieldKo removes it from Salesforce at your next sync.

## Use Related Lists

Related lists show the records linked to an account, such as its orders:

1. On the **Related** tab, tap a related list to see its records.
2. Optional: To filter the list, enter any value in the search box.

Up to 100 records load per list.

To add a related record, tap **New**. The app fills in the link back to the parent record for you.

Some FieldKo records can't be created here, such as tasks, surveys, visits, and pack-outs. Create those from a [visit](/visits/visit-details) instead. Orders open the [order screen](/field-work/place-order).

**To be synced** means the related record is on your device but hasn't reached Salesforce yet.

## Create or Edit a Record

<Steps>
  <Step title="Open the Form">
    On a list, tap **New**. Or, on a record, tap **Edit**. If the object has several record types, choose one in **Select Record Type**.
  </Step>

  <Step title="Fill In the Fields">
    The form follows your Salesforce page layout, and required fields are marked.

    * A dependent picklist stays empty until you choose a value in its controlling field.
    * For lookups, enter at least 3 characters to search all synced records.
  </Step>

  <Step title="Tap Save">
    The app saves the record on your device and uploads it at your next sync.
  </Step>
</Steps>

If something stops you from saving:

* **If a field value isn't valid:** You see a message such as "{Field} is required", "Enter valid email address in {Field}", or "Enter shorter text (maximum N characters) in {Field}". Correct the field and save again.
* **If you see Discard Changes:** You tapped **Cancel** after making changes. Tap **Continue Editing** to go back, or tap **Discard** to lose your changes.
* **If you see Read Only:** Your Salesforce profile doesn't let you create or edit that type of record. Ask your admin for access.

<Note>
  Some validation runs only in Salesforce. If a record breaks a validation rule, it saves on your device but fails at sync. See [Fix Sync Errors](/troubleshooting/sync-errors).
</Note>

## Attach a Photo or File

Before you attach a file, keep these limits in mind:

* Files must be **5 MB or smaller**. Larger files show "File too large".
* Executable files, such as `.exe`, `.apk`, `.dmg`, and `.sh`, are blocked. You see "Executable files cannot be attached."
* If **Attach File** is missing, your admin hasn't turned on attachments for that object.

Follow these steps to attach a photo or file to a record:

1. Open the record, and then tap **Attach File**.
   * On **Account Details**, this option is in the action button on the **Details** tab.
2. Tap **Camera**, **Photo Library** (or **Gallery**), or **Document**.

Attachments go into the upload queue. They upload at your next sync with **Sync Images** turned on. See [Sync Your Data](/sync/sync-screen).
