Bulk-schedule FieldKo Visits over a date range using filters, account sets, and visit templates

Updated this week

Field Campaigns let managers bulk-schedule FieldKo Audits and Visits over a specified date range. This feature is ideal for running targeted initiatives—like compliance checks or promotional blitzes—without manually assigning each visit.

1. Create a New Field Campaign

  1. Click the Field Campaigns tab.

  2. Click New.

  3. Enter a Name for your campaign.

  4. Set the From (Start Date) and To (End Date).

  5. Tick Use Visit Template, then choose the appropriate template.

  6. (Optional) Select specific Tasks and Surveys to include.

  7. Click Create.

  8. You’ll be taken to Account Selection to pick which accounts to target.

2. Select Target Accounts

You have three ways to choose accounts:

A. Filter Criteria (Default)

  1. Tick Use Filters.

  2. Choose a Field (e.g. Owner), an Operator (e.g. Contains), and enter a Value (e.g. “Brian”).

  3. Click Go to list matching accounts.

  4. (Optional) Tick Remember Filter Criteria to save for reuse.

  5. (Optional) Tick Remember Account Selection to save this list.

Note: If a Visit already exists for an account in your date range, the campaign will append tasks/surveys to that Visit. Otherwise, it will schedule a new Visit in the next available slot.

B. Existing Filter Criteria

  1. From Existing Criteria, choose a saved filter (e.g. “FY25 Target Accounts”).

  2. Click Go to view those accounts.

  3. Select the checkboxes next to each account to include.

  4. (Optional) Tick Remember Account Selection.

  5. Give your selection a Name and click Save.

C. Account Sets

  1. Under Available Account Sets, select a saved set (e.g. “Cindy’s Accounts”).

  2. Click Add (→).

  3. Click Go to view those accounts.

  4. Select any additional accounts via the checkboxes.

3. Assign Visits to Users

  1. Click Next to open the Select Accounts for the User’s Visit page.

  2. To adjust your selections, click Back.

  3. Click a User Name to see their assigned accounts.

  4. Tick or untick accounts for that user—this is your final opportunity to decide who visits which accounts.

  5. Repeat for each user in the campaign.

  6. Click Assign.

    • Visits will be created and, if enabled in Custom Settings, notifications emailed to each user.

  7. All newly created Visits appear automatically on the Visit Calendar.

4. Planning Additional Visits

On any existing Field Campaign detail page, click Plan More Visits for Accounts to quickly push extra tasks or surveys into scheduled Visits—ideal for last-minute promotions.

By following these steps, you can efficiently manage and scale field-based campaigns, ensuring your team executes targeted audits and visits exactly when needed.
